Flowxtra Job Ad Quality Guidelines

Last updated: April 25, 2025

These guidelines define the required quality standards for all job advertisements published via the Flowxtra platform. They aim to ensure all job ads are inclusive, legally compliant, accurate, and respectful. They also apply to all advertisements promoted via external channels such as Google, Meta (Facebook/Instagram), LinkedIn, TikTok, Snapchat, and YouTube.

By using the Flowxtra platform, you agree to comply with these rules.

1. Purpose of These Guidelines

These guidelines ensure that job seekers accessing Flowxtra receive professional, fair, and legally compliant job advertisements. Flowxtra’s platform integrates with various advertising and tracking systems and operates under strict data privacy frameworks, including GDPR, CCPA/CPRA, and Austrian law.

2. Non-Discrimination and Respectful Content

Job advertisements must not include or imply any discriminatory content or preferences based on race, color, ethnicity, nationality, religion, gender, sexual orientation, disability, age, marital status, or any other legally protected status.

The following are prohibited:

  • Discriminatory phrases (e.g. “native speakers only”)

  • Gendered job titles unless legally or linguistically justified

  • Any form of offensive, harassing, or exclusionary language or imagery

Job descriptions should focus on relevant qualifications, experience, and responsibilities only.

3. Accurate and Transparent Job Information

Job advertisements must provide complete and clear information, including:

  • Accurate job title and role description

  • Type of employment (e.g. full-time, part-time, freelance)

  • Location (remote, hybrid, onsite)

  • Compensation model (fixed, commission-only, unpaid)

Unpaid internships, volunteer opportunities, or commission-only roles must be clearly labeled. Misleading candidates about compensation, benefits, or job responsibilities is strictly prohibited.

4. Prohibited Practices

The following practices are not permitted on Flowxtra:

  • Keyword stuffing or excessive repetition for SEO manipulation

  • Reposting identical job ads more than once within 30 days

  • Including links that redirect candidates to other platforms without approval

  • Multi-level marketing (MLM), pyramid schemes, or “business opportunity” ads

  • Requiring candidates to pay fees to apply or access job opportunities

5. Location and Reposting Standards

Job advertisements must reflect the actual location of the role. Do not list incorrect or multiple locations to broaden visibility unless the role is genuinely remote or multi-location.

Excessive reposting is discouraged. Only significantly updated ads may be reposted before the 30-day interval.

6. Data Privacy and Candidate Information

Flowxtra complies with GDPR, CPRA, and other global privacy laws. As such:

  • Employers must not request sensitive data (e.g., banking details, passport copies) in job ads

  • All candidate information collected must be used exclusively for hiring purposes

  • No data may be transferred or disclosed to third parties without explicit consent

Employers must also comply with the Flowxtra Privacy Policy and Cookie Policy.

7. AI-Powered Matching and Transparency

Flowxtra uses AI technology to improve candidate-job matching. All automated processes are supplemented by human oversight in compliance with GDPR Article 22.

Candidates retain the right to:

  • Access information about automated decision-making

  • Object to or request manual review of AI-generated decisions

Employers may not use Flowxtra to reject candidates solely through automation.

Flowxtra enables companies to promote job ads across integrated platforms, including:

  • Google Ads

All ads promoted externally via Flowxtra must:

  • Be compliant with each platform’s advertising terms

  • Not use misleading or exaggerated language

  • Respect privacy and tracking opt-out settings under GDPR/CCPA

Flowxtra manages performance tracking and ensures third-party ads do not expose candidates to misleading or unethical recruiting practices.

9. Candidate Respect and Contact Rules

Employers may not:

  • Contact candidates outside of Flowxtra unless expressly authorized

  • Require personal or biometric information during initial applications

  • Pressure candidates into applications, trials, or interviews

  • Misrepresent the nature, availability, or status of a position

Job seekers must always be treated with fairness, respect, and transparency throughout the hiring process.
